Data and privacy notice
This notice explains how Rotiv Consult handles information submitted through Find a Payment Processor.
Who is responsible for the data?
Rotiv Consult is responsible for the personal data described in this notice. Privacy questions and data-rights requests can be sent to info@rotivconsult.com.
What information do we collect?
The matching flow collects the business and processing profile needed to review a payment-provider request. This can include company and customer geographies, industry, processing volume, payment requirements, processing history, current provider or problem, regulatory status, contact name, company, business email and optional phone number.
Do not submit card numbers, identity documents, customer records or other sensitive personal data through the matching flow.
Why do we use this information?
- To review the merchant profile and respond to the matching request.
- To assess whether a potentially relevant payment route may exist.
- To contact the person who submitted the profile.
- With the consent given in the form, to prepare an introduction to selected payment providers where a plausible fit is identified.
- To protect the service from misuse and understand aggregate funnel performance.
Submitting a profile does not create a provider match, approval or merchant-account relationship. Provider underwriting remains independent.
Who can receive the information?
Authorised Rotiv Consult reviewers can access submitted profiles. Vercel provides website hosting, Notion provides the private lead-review workspace, Cloudflare provides the domain name service, Resend delivers the confirmation email sent to the address submitted with a matching request, PostHog provides privacy-limited product analytics hosted in the European Union, Google provides Google Analytics 4, and OpenAI provides campaign conversion measurement. Google Analytics and OpenAI campaign measurement run only when optional analytics consent is granted. A selected payment provider receives profile information only where a potentially relevant route has been identified and the submitter has consented to an introduction.
Submitting the form does not automatically distribute the profile to multiple providers.
Analytics, cookies and browser storage
PostHog receives only explicit funnel events such as the source page, selected industry, problem and step number. Contact details and free-text answers are not sent to analytics. Automatic click capture and session recordings are disabled, and PostHog does not create persistent person profiles or tracking cookies.
Google Analytics 4 is optional and is loaded only after the visitor selects “Accept analytics”. It receives page and funnel events without contact details or free-text answers. Advertising storage, Google Signals and advertising personalisation are disabled. Google Analytics may set cookies such as _ga to distinguish visits after consent is granted.
OpenAI campaign measurement is also optional and runs only after the same choice. It records page or content views and a lead event when a matching request is successfully submitted. It may use the OpenAI click reference (oppref), a browser reference, IP address and browser user agent to attribute a conversion to a ChatGPT ad. Contact details, business-profile answers and free-text content are not sent, and advanced matching is not enabled.
The browser stores the analytics choice so it can be respected on later visits. Visitors can reopen “Analytics settings” in the footer to change that choice. The browser also uses session storage separately to preserve an unfinished matching profile and allow the user to move between steps.
How long do we keep the information?
Rotiv Consult does not currently apply an automatic deletion schedule to enquiry records. Information is retained to review the request, follow up, document consent, manage any resulting introduction and handle legal obligations or claims. Retention remains subject to applicable law and valid data-rights requests.
Your choices and rights
Submission is optional. Consent to share profile information can be withdrawn before an introduction is made. Optional analytics and campaign-measurement consent can be changed at any time through the footer. Depending on the law that applies, individuals may request access, correction, deletion, restriction, portability or object to certain processing.
Requests should be sent to info@rotivconsult.com. Identity may need to be verified before a request is completed.
Automated decision-making
The matching form does not make an automated provider or approval decision. Profiles are held for manual review until real route data supports a potential match.
Changes to this notice
This notice will be updated when the data flow, service providers or commercial process changes. The review date at the top identifies the current version.
